Word revisions12/27/2022 Enter your name within the “User name” field above to make your name appear listed for any tracked changes you make within a document. To change the name, click on the same arrow icon within the tracking area, as mentioned earlier and then select “Change User Name.” You can also access this area by clicking on “File” at the top left corner of Word and then clicking on “Options.” After entering your name within the “User name” field and your initials, enable the “Always use these values regardless of sign in to Office” option if a check mark does not appear for the box and then restart Microsoft Word. To avoid the above scenario, you will need to change the user name. If each author has the same user name, Word thinks the same author is making all of the tracked changes. This generally happens where each author works in the same company and their user name for Microsoft Office is a generic name. While the “By author” option generally assigns different colors to each author, there is a scenario where a certain type of change, such as inserted text, is the same color for all of the authors instead. The “By author” color option assigns different colors for each author working on the document. This is the “Advanced Options” window for Track Changes. The “Accept/Reject All Changes and Stop Tracking” option accepts/rejects all changes and turns off Track Changes. Within this area, you also have a separate option to Accept/Reject all changes at once. The above option automatically scrolls down to the next tracked change within the document and will continue to do so each time you select this option until it reaches the end of the document. If you have a lot of changes you want to accept/or reject and do not want to manually search for and select each change, click on the down arrow icon under either the accept or reject options under the Review tab and select “Accept/Reject and Move to Next” option. If you only want to accept/reject a specific change, you can right click on the change and choose to either accept or reject it. This example shows how to re-position the Reviewing Pane. If you want to close the reviewing pane, click on the X icon on the top right corner of the sidebar or click on “Reviewing Pane” within the Tracking area to turn it off. Once you drag the sidebar into any of the sides of the document, it should automatically snap in place. You can even drag it into the right side of the Balloons area if you prefer. If you want to re-position this pane, hover your mouse over the text “Revisions” where the mouse cursor will change into an icon representing four arrows where you can drag the sidebar to a different area of the document. Once enabled, you will see a “Revisions” sidebar where you can see each type of revision along with how many revisions were done on a per revision basis. You can either display the pane vertically or horizontally. If you want the view the tracked changes as a list, you can enable the “Reviewing Pane”, located within the “Tracking” area inside the Review tab. This Gif displays an example of the “Show only comments and formatting in Balloons” setting. This symbol indicates where tracked changes are located. Regardless of which view you decide to use, you can tell if any tracked changes are in place by the | symbol on the left side of the document. When selecting this option, any inserted comments and formatting changes, such as font size or style changes will be shown in balloons while all other changes will be shown inline. While the first two options are meant to show all revisions either inline or in balloons, the “Show Only Comments and Formatting in Balloons” option is a mix of the first two options. To specify which method you want your changes to display, click on “Show Markup”, hover the mouse cursor to “Balloons” where you can then choose which display setting you prefer. The Image on the left shows track changes being displayed in balloons while the image on the right shows track changes inline. The second option is to show colors in balloons, which will display your changes on the right side of the document instead. The first method shows your changes inline, meaning you see your changes highlighted within the document in different colors, depending on the changes made. Once enabled, your changes will be displayed in one of two different ways. This option can be found within the “Review” tab. To start using Track Changes, click on the icon above “Track Changes” where the icon will become shaded, indicating the feature is currently enabled. Track Changes allows you to easily see what changes have been made and by whom. When revising a document or working on one that will be edited by multiple people, Microsoft Word provides a feature called “Track Changes” to keep track of what changes are being made.
